Document Management

When you have records to keep, sort and organize, whether they are on paper, or they are images of paper documents or they are digital records and documents, you need to engage in some form of document management.

What Is Document Management?

At the very simplest form it can be a cardboard file box, a collection of envelopes or a series of file folders or tabs in a notebook. Document management more specifically refers now to a computer based system or a series of computer programs. There are a number of facets of document management that need to be considered.

For paper documents and images we have file cabinets, photo albums and scrapbooks, or we pile them in piles on the table; digitally, on the computer, we develop files and retain them or images of them.

Document Management Software

The organization systems come in the form of software. We tell the software how the documents are related, and in what way they are filed, just as we group things together alphabetically, or chronologically in our paper systems. Filing and organization is necessary to provide access to the information we have so carefully preserved. We could, of course enter each piece of data into the computer randomly, but that defeats the idea of document management.

Why Are Document Management Systems Used?

A group or company has many options for document management. It is true that a small business may be just fine retaining all records in house, on the computer, backed up on discs or flash drives, but a larger company may choose a web hosted source of document management, which will archive the materials and free up space in the internal system for day to day uses.

This simplifies concerns related to document management and retrieval in case of a localized disaster. Web based document storage preserves data when a local computer network is destroyed, or the entire environment is harmed, by something like a flood or earthquake or fire.

Whether it is a purchased system or a free download, the correct document management system will enable a group or company to store, manage, and exchange images of paper documents, e-mails and internally generated information. The unified document management system causes the network or group to be much more efficient. It facilitates collaboration while improving security. Document management systems can automatically bring in standards of compliance and continuity for business. With a well functioning document management system workflow improves as customer records are quickly accessed and appropriately distributed.

Document management is a primary concern, for households, small businesses and large corporations. Purchasing or downloading a document management system will improve efficiency and save money for the users.

Office supply stores both on and offline can provide a variety of document management systems. Whatever source you select for a document management system remember that customer service and support are part of the entire package. It is of no use to have a Cadillac if you do not have any idea how to put it in gear so make sure you get the entire package in your document management system by choosing a system with good customer support.
